We are seeking a skilled and experienced Vendor Management Specialist to join our team. We are looking for candidates with a strong background in facilitating and maintaining relationships with vendors, negotiating contracts, and ensuring a cost-effective and professional tendering/contracting cycle.

Key Responsibilities:

  • Coordinate with multiple vendors and internal departments to ensure the smooth running of the contracting process.
  • Manage vendor activities and maintain both new and existing vendor relationships.
  • Identify suitable vendors and negotiate with them to secure the best prices for products and services.
  • Ensure that vendors fulfill their contractual obligations.
  • Be responsible for high-value and complex contracting and capital procurement of products and services.
  • Develop and sustain long-standing relationships with company-approved vendors.
  • Review, negotiate, and draft contracts with internal departments and/or vendors for the provision of products and/or services.
  • Draft and/or review and communicate exceptions to tender documents and RFQs. 
  • Develop contracts under supervision and ensure compliance with procedures.
  • Conduct research on available vendors to determine which offer the best pricing and product quality.
  • Ensure that the inquiry/tender/contracts documentation is prepared in accordance with approved contracting/tendering strategies.
  • Act as a contact between the contractor and the Company’s internal departments.
  • Follow market developments and propose alternative sources of supply.
  • Follow up with contractors and develop supplier relationships.
  • Implement vendor selection programs to ensure that the best vendors are selected.
  • Participate in the development of operating instructions required to implement contracting and procurement policies and procedures.
  • Evaluate current vendor management programs and identify ways to improve them.
  • Conduct strong market analysis and exert maximum effort in negotiation with vendors.
  • Collaborate with the Legal Department, as appropriate, to ensure contractual risks are clearly identified and properly addressed in contractual provisions. 
  • Demonstrate a strong understanding of contracting philosophy, contract drafting, tender processes, negotiation, contract management/implementation, contract amendment, and financial tracking/monitoring.
  • Demonstrate the highest standards of integrity and ethical conduct in all business dealings.
  • Perform other job-related duties as assigned.
