Sourcing and Vendor Specialist – Almana Group
JOB PURPOSE
The Sourcing and Vendor Specialist is responsible for driving operational excellence across the Group through robust governance, compliance, cost efficiency, and process optimization. The role leads transparent, competitive, and value-driven sourcing and logistics practices, oversees effective spend and contract management, and ensures strong supplier governance. By collaborating with internal stakeholders and external partners, the role delivers high levels of stakeholder satisfaction while upholding the Group’s ethical standards and values.
KEY RESULTS AREAS / DELIVERABLES AND KEY ACTIVITIES:
STRATEGIC VENDOR SOURCING EXCELLENCE
- Ensure vendor sourcing activities comply with approved sourcing policies, authority matrices, and governance standards.
- Drive efficient, transparent, and competitive sourcing processes that deliver optimal cost, quality, and service outcomes across categories.
- Identify and lead cost optimization and value-creation initiatives through effective supplier evaluation, negotiation, and sourcing strategies.
- Establish and maintain sourcing controls to mitigate supplier risk, non-compliance, and operational inefficiencies.
- Continuously enhance sourcing frameworks, supplier selection methodologies, and supporting documentation to improve overall sourcing effectiveness.
COMPETITIVE VENDOR SOURCING & TRANSPARENT AWARD MANAGEMENT
- Drive fair, competitive, and transparent sourcing processes, including RFQs, RFPs, and tenders, to select the most suitable vendors.
- Ensure sourcing decisions are based on technical compliance, commercial evaluation, and total cost of ownership.
- Confirm that all vendors are qualified, approved, and compliant with Group standards and AML before engagement.
- Support timely procurement of goods and services to meet operational requirements.
- Maintain full compliance with procurement policies, audit standards, and proper documentation throughout the sourcing process.
LOGISTICS COST OPTIMIZATION & SPEND CONTROL
- Optimize logistics spend and contractual coverage across transportation, warehousing, and distribution activities.
- Drive cost transparency, efficiency, and control in all logistics operations.
- Consolidate and manage logistics vendors to maximize value and leverage Group-wide sourcing strategies.
- Ensure contracts secure pricing, service levels, and risk mitigation for all logistics services.
- Track and report logistics savings, cost avoidance, and performance KPIs to support informed decision-making.
- Collaborate with Finance to align logistics strategies with budgeting, forecasting, and cash flow objectives.
- Implement process improvements and best practices across the logistics network to enhance operational efficiency.
- Monitor market trends, carrier performance, and industry benchmarks to identify opportunities for cost reduction and service improvement.
LOGISTICS EXECUTION EXCELLENCE & SERVICE RELIABILITY
- Enhance logistics and procurement process efficiency, reducing cycle times and improving service delivery.
- Strengthen collaboration and alignment with internal stakeholders across business units.
- Serve as a reliable logistics and procurement advisor to operational and functional teams.
- Monitor and improve internal customer satisfaction with logistics and procurement services.
- Implement systems, tools, and automation to increase process visibility, reliability, and overall efficiency.
PROCESS EXCELLENCE, VENDOR PERFORMANCE, RISK MANAGEMENT & TEAM CAPABILITY
- Improve sourcing and logistics processes through standardization, automation, and adoption of best practices.
- Establish and maintain robust vendor governance covering performance, risk, compliance, and service quality.
- Monitor and evaluate vendor performance using KPIs, scorecards, and periodic reviews to ensure reliability and accountability.
- Ensure all vendors comply with ESG, AML, ethical, and regulatory requirements in line with Group policies.
- Identify and manage vendor risks—including financial, operational, and reputational—and implement mitigation actions as needed.
- Maintain approved vendor lists with proper due diligence, onboarding controls, and continuous monitoring.
- Strengthen team capability through training, process improvements, and adoption of standardized tools and procedures.
