Investment Operations Executive
We are looking for a detail-oriented and technically proficient Investment Operations Executive to support the firm’s investment operations function. The role sits at the intersection of middle and back office, covering the full operational lifecycle of a multi-asset, multi-jurisdiction investment portfolio. The candidate will be expected to operate with a high degree of autonomy, accuracy, confidentiality, and professional judgment.
Key Responsibilities
Banking & Treasury Operations
- Manage end-to-end opening and closing of bank accounts across domestic and international jurisdictions, including coordination of KYC/AML documentation, signatory mandates, board resolutions, and correspondent banking requirements.
- Maintain an up-to-date bank account register across all entities and jurisdictions.
- Oversee daily cash positioning, funding instructions, and inter-account transfers.
- Coordinate with relationship managers at custodian and correspondent banks to resolve operational issues.
Portfolio Valuation & Reporting
- Produce accurate portfolio valuations across asset classes and jurisdictions on a periodic basis (daily/weekly/monthly as required).
- Reconcile positions and market values against custodian statements, prime brokers, and fund administrators.
- Ensure consistent application of valuation methodologies by asset class (mark-to-market, mark-tomodel, NAV-based).
- Maintain a clean, auditable valuation audit trail with full version control.
Trade Operations & Settlement
- Process and confirm trade instructions across equities, fixed income, private markets, funds, and alternative instruments.
- Monitor settlement status and resolve failed trades, breaks, and counterparty discrepancies.
- Manage corporate actions (dividends, rights issues, coupon payments, maturities) and ensure accurate reflection in books and records.
- Coordinate FX settlements and hedging operational flows where applicable.
Reconciliation & Books of Record
- Perform daily/monthly reconciliation of cash, positions, and valuations between internal records and external counterparties (custodians, banks, fund administrators).
- Identify, investigate, and resolve reconciliation breaks in a timely manner with clear documentation.
- Maintain accurate and complete books of record across all asset classes, including:
Listed equities and fixed income
Unlisted/private equity and direct investments
Real estate and real asset holdings
Funds (mutual funds, hedge funds, PE funds, REITs)
Structured products and derivatives
Money market instruments and deposits
Compliance & Regulatory Support
- Maintain working awareness of applicable regulatory frameworks, including QFC/QCB requirements and cross-border reporting obligations.
- Support KYC/AML processes for counterparty onboarding and periodic review cycles.
- Assist in preparation of regulatory filings and responses to regulatory queries.
- Flag operational activities with potential compliance implications and escalate appropriately.
- Maintain documentation standards consistent with audit and regulatory requirements.
Process & Controls
- Maintain Standard Operating Procedures (SOPs) for all operational workflows.
- Identify control gaps and recommend process improvements proactively.
- Support internal and external audits by providing accurate documentation and reconciliations.
- Maintain an operational risk register and escalate incidents in accordance with firm policy.
