Secretary – GM – Nasser Bin Khaled and Sons

We are seeking a highly organized and professional Secretary to the General Manager to provide comprehensive executive and administrative support. The ideal candidate will ensure the smooth operation of the GM’s office, manage communications, and handle confidential information with the utmost discretion.

Key Responsibilities

  • Manage the General Manager’s calendar, schedule appointments, and coordinate meetings.
  • Prepare meeting agendas, take accurate minutes, and distribute them to relevant participants.
  • Handle correspondence, including drafting and editing emails, letters, and official documents.
  • Maintain a systematic and confidential filing system for records and documentation.
  • Prepare expense reports and coordinate travel arrangements, including visas, flights, and accommodation.
  • Serve as the primary point of contact for internal and external stakeholders, ensuring professional and timely communication.
  • Screen phone calls, inquiries, and requests, redirecting them as appropriate.
  • Facilitate effective communication between the GM and various departments.
  • Organize and coordinate executive-level events, conferences, and business trips.
  • Handle sensitive and confidential information with discretion and professionalism.
  • Prepare and maintain accurate records, reports, and presentations.
  • Assist in the preparation of executive reports, presentations, and business plans.
  • Compile and analyze data to support executive decision-making.
  • Ensure the smooth running of the GM’s office, including managing office supplies and administrative processes.
  • Coordinate and monitor administrative projects and initiatives.
  • Collaborate with other support staff to enhance office efficiency.
  • Perform additional duties as assigned by the Head of the Department.
