ICT Assistant (4-6 Months Temporary Contract) – Gas Exporting Countries Forum (GECF)

Objective of Department 

The Data and Information Services Department (DISD) manages IT and Data Centre of the Secretariat; consolidates its data bank; prepares, collects and processes the information questionnaires for Member Countries; interacts with JODI partners and international organisations on data and statistics; and provides data services to all departments and analysts, including special data for modelling purposes. Additionally, the DISD is responsible for the information security of the GECF.

Objective of Post

Under general supervision, the ICT Assistant troubleshoots and maintains the software and hardware systems used in the GECF Secretariat.

Main duties & responsibilities

  1. Provides adequate support to all staff at the GECF secretariat in all IT issues on a daily basis, and during meetings and special events. This includes, but is not limited to responding to user requests, resolving hardware and software issues, installing new applications, and providing assistance and training to end users in various IT aspects;
  2. Assumes responsibility in identifying and analysing end-user hardware and software problems. In addition, performs the required maintenance and troubleshooting for all applications, and IT hardware including computers, printers, IP Telephony, and other equipment;
  3. Monitors performance of computer systems, and establishes a baseline of optimal performance;
  4. Develops a knowledge base of technical procedures for internal use, and user manuals and guidelines for end users in various applications and technologies used at the secretariat;
  5. Provides the required training and assistance to end users on the usage of the applications and technologies deployed at the secretariat;
  6. Manages, and updates the IT assets catalogue, inventory, and end-user software licensing records. Also provides the required reports for the usage and distribution of all IT assets;
  7. Monitors stock levels of IT consumable supplies for all hardware assets;
  8. Evaluates end-user IT requirements at the secretariat and provides recommendations for suitable computing and technological solutions to accommodate those requirements;
  9. Prepares Purchase Requests for IT Assets/Services as per the requirements of the respective departments, and follows up their progress;
  10. Communicates with vendors, service providers, and distributors to obtain quotations (RFQ) whenever needed;
  11. Works closely with other staff at the Data and Information Services department, and provides the required assistance to allow them to perform their IT tasks smoothly and in a timely manner;
  12. Is present and actively participates in all workshops, training sessions, meetings, and other events within and outside the DIS department, and as per department head instructions;
  13. Carries out any other tasks assigned to them by their relevant superiors (Secretary General or Department Head) as pertaining to his/her background, qualifications and position.
